Important Notes for the Application for Master’s Thesis Proposal Review in Semester 114-2

Students who plan to undertake their Master’s thesis proposal review in Semester 114-2 must follow the regulations below and pay close attention to the application timeline.

I. Important Timeline

  • The thesis proposal review must be completed and passed by July 31, 2026.
  • The Application Form for Master’s Thesis Review and all related documents must be submitted to the Institute Office at least three weeks prior to the confirmed oral examination date.
  • Before submitting the application, students must first confirm with their academic advisor whether they may proceed with the thesis similarity check and the oral examination application.
  • Applications submitted without prior confirmation from the academic advisor will not be accepted by the Institute Office.
  • Example: If the oral examination date is scheduled for June 30, the relevant documents must be submitted to the Institute Office by June 12.

II. Items to Be Completed Before the Oral Examination

Before submitting the application, please complete the following items in order. For the following graduation requirements, please first obtain the academic advisor’s signature, then upload the documents, and finally confirm with the Institute Office that the upload has been completed successfully.

(1) Turnitin Similarity Report

A signed report from the academic advisor is required: Thesis Similarity Check Result.
If you encounter difficulties during the similarity check process, please refer first to the Turnitin User Manual.

(2) Graduate Student Academic Achievement Upload and Review System  (online application)

(3) Certificate of 6 Hours of Academic Ethics Training

Please upload the certificate of academic ethics training.

(4) English Proficiency Requirement Supporting Document

Please upload the document verifying that the English proficiency requirement has been met.
Note: Students in the In-Service Master’s Program are exempt from this requirement.

III. Procedures for Applying for the Master’s Thesis Review

(1) Application Form for Master’s Thesis Review (Chinese / English)

  • The thesis similarity check must be completed before filling out the application form.
  • Please complete the online form first and then print out the hard copy.
  • After obtaining the academic advisor’s signature, submit the application to the Institute Office.
  • All application documents must be submitted at least three weeks before the confirmed oral examination date. Late submissions will not be accepted.

The Master’s thesis review may be conducted in one of the following three formats, with the examination format determined by the academic advisor:

  • Written review
  • Oral examination
  • Online oral examination

(2) Qualification Confirmation Form for Oral Examination Committee Members

If a proposed committee member falls under Subparagraphs 3 or 4 of Paragraph 2 of the relevant regulations, the information form must be submitted to the Institute Office by the end of May for review by the relevant meeting.
Please also refer carefully to the relevant provisions of the Detailed Regulations for Graduate Degree Examinations of National Cheng Kung University.

IV. Oral Examination Fees and Reimbursement Notes

(1) Review Fee

External oral examination committee members are entitled to a review fee of NT$1,000 per person.

(2) Transportation Reimbursement

  • Reimbursement is made on an actual expense basis, calculated with Tainan City as the starting point and destination.
  • If a committee member drives to campus, reimbursement will be calculated based on the TRA Tze-Chiang Limited Express fare.
  • Internal faculty members of the University are not eligible to receive thesis review fees.

(3) Other Important Notes

  • Please confirm whether the student will advance the payment or whether the payment will be remitted directly to the committee member’s bank account.
    If the student will advance the payment, please complete the Payee Basic Information Platform in advance so that the University can establish the necessary record for reimbursement.
    Alternatively, the committee member may complete the Postal/Bank Account Upload System to facilitate the subsequent reimbursement and payment procedures.
  • Please confirm the transportation method of each committee member.

V. Classroom Reservation

The following venues may be reserved:

  1. Audiovisual Classroom or Conference Room, 3rd Floor, New Gymnasium
    (subject to prior confirmation with the Office of Physical Education)
  2. Seminar Room 49310, 3rd Floor, General Building II
    (capacity: 7 persons)
  3. Conference Room 62X19, B1, College of Management
    (capacity: 8 persons)

⚠️ If you wish to reserve a room, please first confirm with the Institute Office whether the room is already being used for classes before proceeding with the reservation.

VI. Pre-Oral Examination Checklist

Before the oral examination, please make sure the following items have been completed:

▢ Have you confirmed the transportation arrangements of the committee members? If any committee member will drive, the application for off-campus vehicle entry must be completed at least one week before the oral examination.

▢ Have you sent the draft thesis to the committee members in advance?
▢ Have you received the oral examination notification email from the Institute Office?
▢ Have you printed out the Thesis Proposal Review Comment Form (please print according to the number of committee members)?
▢ Have you prepared meals for the oral examination committee members?
▢ Have you arranged for assistants to be present on the day of the oral examination?
Note: This is not mandatory and may be arranged according to the practice of each laboratory.

If, for any reason, the oral examination cannot be held as scheduled, please be sure to notify the Institute Office in advance.

VII. Notes for the Day of the Oral Examination and Afterward

(1) On the Day of the Oral Examination

If the thesis title needs to be revised either on the day of the oral examination or after the examination is completed, no separate application is required. Please revise the electronic file directly.

(2) After the Oral Examination

Please submit the following documents to the Institute Office within one week after the oral examination:

  • Thesis Proposal Review Comment Form
  • Transportation reimbursement receipts

Please also confirm that the advance payment or the payment to the committee members has been properly processed.
