Graduation Clearance Procedure

Graduation Clearance Procedure for Graduating Students

Before proceeding with the graduation clearance process, please make sure that the following items have been completed:

  1. Confirm whether the Certificate of Passing has been submitted to the Institute Office for forwarding to the Director for signature, so that the document may be inserted into the bound thesis.
  2. Please log in to the Cheng Kung Portal to check whether your semester grades have been fully entered and verified as correct.
  3. Thesis Similarity Check: Before completing graduation clearance, please upload the Originality Report – Sample. Please refer to the Library’s sample format.

  5. Option 1: Please send the electronic file of the similarity percentage cover page to your academic advisor for a handwritten signature, electronic signature, or official seal.
    Option 2: If you intend to use the advisor’s official seal, you must provide proof that the advisor has agreed to this arrangement (such as a message record) for verification by the Institute Office. If no supporting evidence is provided, the Institute Office will not affix the seal.
    (After confirmation by the Institute Office, the Office may affix the seal and the Institute stamp on behalf of the advisor.)
  6. If you encounter any difficulties during the similarity-checking process, please first refer to the Turnitin User Manual.

Important Notes

  1. Please complete file conversion, thesis upload, and authorization procedures in accordance with the University’s Regulations for the Collection of Digital Theses and Dissertations and the Procedures for Submitting Full-Text Digital Theses and Dissertationshttps://thesis.lib.ncku.edu.tw/
    Library Notice: Students intending to graduate in Semester 114-2 must complete the upload no later than August 19, 2026.
  2. Please reserve at least one week to handle matters related to the electronic thesis upload system and associated procedures, and complete the upload as early as possible before August 19, 2026, so as to avoid the peak period during the final two weeks before the deadline. Students are advised to manage their time carefully.
  3. According to operational statistics, each thesis submission is typically returned for format correction at least three times, with some cases requiring as many as seven or eight revisions. During the peak submission period, there may be a large number of theses awaiting review. After each submission, materials are reviewed in order of receipt, and the waiting and review process may take three working days. Please be patient.
  4. For paper thesis binding requirements, please refer to the page Summary of Important Notes for Departments/Institutes Regarding Graduate Degree Examinations under the Degree Examination section of the Curriculum Division, Office of Academic Affairs.
  5. Please log in to the Graduation Clearance Inquiry System using your student ID number and password (the same as your Cheng Kung Portal login), complete the Senior Student Career Intention Survey and the Graduate Core Competency Questionnaire, then print out the Graduation Clearance Form and complete the required approval procedures.
    Please visit the Institute Office to obtain the Institute clearance stamp.
  6. When completing graduation clearance at the Institute Office, the Office will check whether the student’s laboratory space has been restored and cleaned properly.

Procedure

At this stage, you are very close to receiving your diploma—please make one final effort.

  1. If your academic advisor is unable to sign in person for any reason, you must obtain the advisor’s prior consent and provide supporting evidence (such as a screenshot of a Line message or the content of an email). After verification by the Institute Office, the Office may sign and affix the Institute stamp on the advisor’s behalf.
  2. Graduation clearance at the Library:
    Please complete and bring the following items (1)–(8) to the Circulation Desk on the 1st Floor of the Main Library to complete the subsequent graduation clearance procedures.
    All graduation clearance procedures must be completed by 4:30 PM on Monday, August 31, 2026. Late applications will not be accepted. Please pay close attention to the deadline.

    (1) Four completed questionnaires:

    (2) Graduation Clearance Record Form

    (3) Student ID card

    (4) Two paperback copies of the thesis

    (5) Documents required by the Main Library
    (The Library notification email will include the following file attachments. Please print and prepare them yourself.)

    • NCKU Paper Thesis Authorization Form
    • NCKU Electronic Thesis Authorization Form
    • National Central Library Electronic Thesis Authorization Form
      A total of 3 authorization forms are required, and each form must bear the handwritten signatures of both the academic advisor and the student.
      If the academic advisor is unable to sign in person, prior consent from the advisor must be obtained and supporting documents must be provided. After verification, the Institute Office may affix the seal and Institute stamp on the advisor’s behalf.

    (8) All graduation clearance procedures must be completed no later than 4:30 PM on Monday, August 31, 2026. Late completion will not be accepted.
    Students who fail to complete the procedure by the deadline will be required to pay the registration fee for Semester 115-1. Please take note. If the student has exceeded the maximum period of study, the University will directly process dismissal.
