Announcement on Graduation Eligibility Review and Degree Examination Application for Semester 114-2
I. Important Reminders
- Before applying for the degree examination, students must first complete the graduation eligibility review conducted by the Division of Registration. Only after passing this review may they proceed with the subsequent degree examination application process.
- The Institute completed its preliminary review on March 31, 2026.
🔴 Please note in particular:
The University will officially begin the new semester on Monday, September 7, 2026. According to University regulations, school departure procedures may not be completed on the first day of classes.
Please make sure to complete all required procedures in advance to avoid affecting your graduation schedule.
II. Application Timeline
- Please pay close attention to the application schedule and prepare all required documents in advance.
- For example, if the oral defense date is May 15, 2026, the relevant documents must be submitted to the Institute Office by April 24, 2026.
Notes
- From the beginning of Semester 114-2 until 11:59:59 PM on Tuesday, June 30, 2026, students must complete the application through the degree examination system and obtain the handwritten signature of their academic advisor.
- To accommodate administrative processing, the application must be completed three weeks before the confirmed oral defense date. The Institute will stop accepting applications at 4:30 PM on Friday, July 3, 2026. Applications not completed by the deadline cannot be arranged for that round of oral defenses and must be postponed. Late applications must be submitted in the following semester and will not be accepted after the deadline. Applicants shall bear the consequences of late submission.
- Late applications will not be arranged for the current round of oral defenses. Students are advised to pay close attention to the deadline.
- If you have any questions, please contact the Institute Office as early as possible.

III. Application Rounds
- Application documents for the degree examination must be submitted to the Institute Office three weeks before the oral defense date.
- Students are advised to first confirm the oral defense date and the list of committee members with their academic advisor, and then prepare all required application documents as early as possible to facilitate subsequent review and administrative processing.
- Example: If the oral defense is scheduled for May 15, 2026, the relevant documents must be submitted to the Institute Office by April 24, 2026.

- The oral defense application must be completed three weeks before the oral defense date.
- Late applications must be postponed to the next application round.
- The oral defense date must first be confirmed with the academic advisor, and the list of committee members should also be prepared in advance to facilitate the subsequent review process.
IV. Items to Be Completed Before the Oral Defense
Please complete the following items three weeks before the oral defense. For the graduation requirements listed below, please first obtain the academic advisor’s signature, then upload the document(s), and finally confirm with the Institute Office that the upload has been completed successfully.
Required for Both the Master’s Program and the In-Service Master’s Program

Required for Regular Master’s Program Students Only

Please upload the document verifying fulfillment of the English proficiency requirement.
Other Important Matters
- Please first confirm with your academic advisor whether you will apply for delayed public access to the thesis. This is very important. Please refer to page 17 of the quick reference guide.
- The Application Form for the Degree Examination must first be signed personally by the academic advisor before being submitted to the Institute Office. This is a University requirement.
V. Classroom Reservation
The following venues may be reserved:
- Audiovisual Classroom or Conference Room, 3rd Floor, New Gymnasium
(subject to prior confirmation with the Office of Physical Education) - Seminar Room 49310, 3rd Floor, General Building II
(capacity: 7 persons) - Conference Room 62X19, B1, College of Management
(capacity: 8 persons)
⚠️ If you wish to reserve a room, please first confirm with the Institute Office whether the room is already in use for classes before proceeding with the reservation.
VII. Matters to Confirm Before the Oral Defense
Before the oral defense, please make sure the following items have been completed:
▢ Have you confirmed the transportation arrangements of the committee members? If any committee member will drive, the application for off-campus vehicle entry must be completed one week before the oral defense. Campus Vehicle Entry Application Procedure
▢ Have you sent the draft thesis to the committee members in advance?
▢ Have you received the oral defense notification email sent by the Institute Office?
▢ Have you collected the appointment letters for the committee members?
▢ Have you printed the Degree Examination Score Sheets?
▢ Have you printed the Application Form for Delayed Public Access to the Thesis?
(If you choose “public access,” no additional setting is required and no form needs to be submitted. If you choose “non-public access,” you must first set the public release date before printing the form.)
▢ Have you printed the Thesis Certificate?
▢ Have you printed the Average Score Registration Form for the Oral Defense?
▢ Have you prepared meals for the committee members?
▢ If necessary, you may invite junior students to arrive early on the day of the oral defense to assist.
(This is optional and subject to the practice of each laboratory.)
🚫 If you already know that the oral defense cannot be held as scheduled, you must complete the withdrawal of examination application, and print out the Application Form for Examination Withdrawal/Change from the degree examination system.
VIII. On the Day of the Oral Defense
If the thesis title needs to be revised either on the day of the oral defense or after the defense, please log in to the system and submit the Application Form for Thesis Title Change by August 14, 2026. After printing the form, obtain the academic advisor’s signature or seal, and then submit it to the Institute Office.
IX. Documents to Be Returned After the Oral Defense
After the oral defense, please complete all required signatures and return the following documents to the Institute Office as soon as possible:
▢ Payment and Receipt List
▢ Degree Examination Score Sheets
▢ Average Score Registration Form for the Oral Defense
▢ Application Form for Delayed Public Access to the Thesis (required only if non-public access is selected)
▢ Certificate Form for Delayed Public Access to the Thesis (Institute version; required only if non-public access is selected: link)
▢ Degree Examination Thesis Certificate
Please also confirm the following:
▢ Will the student advance the payment, or will the payment be remitted directly to the committee member’s bank account?
If the student will advance the payment, please complete the Payee Basic Information Platform in advance so that the University can establish the necessary record for reimbursement. Alternatively, the committee member may complete the Postal/Bank Account Upload System to facilitate the subsequent reimbursement and payment process.
▢ Have the meal receipts been prepared, and are the student ID number and name indicated on the receipts?
▢ Snacks and beverages on the day of the oral defense are to be prepared by the student. Each student may apply for miscellaneous expenses of NT$250.
▢ The payee name on the receipt should be: National Cheng Kung University

Please also sign the receipt and indicate your student ID number.
X. Thesis Revision and Printing
After passing the oral defense, please revise the thesis in accordance with the comments of the examination committee.
Before binding and printing the thesis, you must prepare the certificate of passing the oral defense. After obtaining the signature of the academic advisor, the document must then be submitted to the Director for signature before the thesis may be officially printed.
The printing requirements are as follows:
- According to University regulations, two paperback copies must be submitted.
- One copy shall be submitted to the Library, and one copy to the Division of Registration
(the copy for the Division of Registration will be forwarded collectively by the Institute Office). - For the Master’s Program, the thesis cover must be orange-yellow and must be laminated with a glossy finish.

XI. Reminder on School Departure Procedures
- For thesis upload, authorization procedures, and school departure procedures, please refer to the School Departure Procedure section on the Institute website.

- Please make sure to complete all graduation and school departure procedures by 4:30 PM on Monday, August 31, 2026. Late completion will not be accepted.
